Why can't I change or delete a document in Lucy anymore?

Modified on Thu, 22 Oct at 3:12 PM

If a document has a document type and automatic sending is turned on, Lucy sends it to your accounting immediately. The document gets the status "Sent". After that, you can no longer change the document type or delete the document. This is intentional, so that what you see in Lucy matches what your accounting has received.

Want to check your documents yourself first? Then turn off automatic sending.

When is a document sent automatically?

Take a look here for the requirements for automatic sending.

What can't you do anymore after sending?

  • Change the document type.
  • Delete the document.

What can you do?

  • Archive the document. The "Archive" button appears as soon as the status is "Sent". You can restore it via the three dots in the Archive. This keeps your inbox organized.
  • Download the document or mark it as paid via the three dots.
  • A wrong type or a duplicate document has to be corrected in your accounting software, in consultation with your accountant.

Preventing a document from being sent too early

Want to check your documents first? Then turn off automatic sending:

  1. Go to Settings and open the Accounting tab.
  2. Turn off "Send documents automatically".
  3. Your documents now stay in "Inbox". Check the document type, then send the document yourself via the arrow and the "Send" option.

When can you delete a document?

You can do this as long as the document is in "Inbox":

  1. Go to Documents and open the Accounting tab.
  2. Choose the "Inbox" tab.
  3. Click the three dots at the end of the document row and choose "Delete".

Sales invoices and sales credit notes can't be deleted in Lucy, not even if they're still in "Inbox".
